Apply a checklist template to existing Jira work items

Checklist Flow for Jira 3.1.1 is the production version (1 November 2026). Last updated 1 November 2026. On the Atlassian Marketplace.

You built a good Definition of Done template, but the stories already in the backlog were created before it existed. Templates are usually applied when a work item is created. Applying one to work that already exists is a different job.

What the Community says

The question was asked as How can I assign a Smart Checklist template to existing Stories in Jira? (282 views and 12 comments when we read it on 30 October 2026). Two answers matter here.

For Jira's own action items, a reply says: "For Jira's native Action Items/checklist, there isn't currently a native reusable checklist template feature that you can select and bulk-apply to existing Stories."

For the Smart Checklist app, the advice is an Automation rule, given as "Trigger -- Scheduled trigger with JQL" and "Action -- Import Checklist Template". The asker's follow-up shows where it gets awkward: they wanted to trigger it by hand, once, and a scheduled trigger runs on a schedule. That is a limitation of the rule, not of the person asking.

Option: Checklist Flow's Apply checklist template action

#

Checklist Flow (paid) adds an Automation action, Apply checklist template. It adds the items of a saved template, found by name, to the work item the rule runs on. The name must match exactly one template, and with the optional Checklist name the template is added as a separate named checklist.

A rule that does it for existing work items:

  1. Trigger: a scheduled trigger, as in the Community answer above.
  2. Run a JQL search for the work items that should have the checklist, for example project = ABC AND issuetype = Story AND statusCategory != Done.
  3. For each work item found, run Apply checklist template with the template name.
  4. Switch the rule off when it has run.

What the action does on the way: the work item is looked up as the rule actor, who must be able to open it; the change is recorded in the checklist history as made through Automation; and an action that would change nothing writes nothing. When it cannot run (no licence, unknown template) the rule stops and the reason is in the rule's audit log.

Where this breaks: there is no preview. You see what happened afterwards in the history, not before. Run the JQL on its own first and read the list. The action adds the template's items to what is already on the work item, so applying the same template twice to a work item that already has it needs thought; try it on one work item first.

What we have not shown live yet

#

The action is described in our documentation. We have not run a scheduled rule over a larger set of work items on a live site for this page. A Checklist Flow screen that previews the list before applying is not part of the released version, so this page describes the Automation route only.

Common questions

#

Does Jira have a native way to do this?

Atlassian's native action items have no reusable templates, according to a Community reply; see the quote above. We did not find an Atlassian page that says otherwise.

Does Checklist Flow apply a template automatically when a work item is created?

Yes, with a paid licence: auto-apply by work type is described in the documentation. That is for new work items.
